Variable data printing (often shortened to VDP) is a printing method that allows certain elements of a printed item to change from one copy to the next, without slowing down production. This means each printed piece can be personalised while still being printed as part of one run.
Variable data printing is also commonly referred to as:
- Personalised printing
- Personalisation
- Data-driven printing
- Numbered printing
- Sequential printing
- Mail merge printing (in some contexts)
All of these terms describe the same core idea, using data to create unique printed items.
What can be personalised using variable data printing?
With variable data printing, you can change one or more elements on each printed item, such as:
- Names
- Addresses
- Numbers
- Codes
- QR codes
- Barcodes
- Reference numbers
- Expiry dates
- Ticket numbers
- Seat numbers
- Table numbers
Everything else in the design remains the same, ensuring consistency while allowing for customisation.
Common uses for variable data printing
Variable data printing is widely used across many types of print, including:
- Gift vouchers with unique codes or numbers
- Tickets with sequential numbering
- NCR pads with numbered sets (e.g invoices)
- Certificates with individual names
- Labels with individual addresses
- Direct mail with personalised details
- Membership cards or passes
- Event materials with unique references
Personalisation can help with tracking, security, organisation and customer engagement.
Why use variable data printing?
One of the biggest benefits of variable data printing is that it allows you to add personalisation without needing separate print runs.
Key advantages include:
- Professional appearance – No more handwriting or sticking labels
- Improved organisation and tracking
- Reduced risk of duplication or misuse
- Efficient production, even for large quantities
- Saves time, especially helpful for large batches of personalised items
- Accurate and reliable, each item is generated directly from your spreadsheet, reducing human error
- Increased engagement for marketing materials
- Increases response rates – Personalised print often gets better results than generic versions
For example, numbered vouchers or tickets are easier to manage, and personalised items often feel more valuable to the recipient.
How does variable data printing work?
Variable data printing uses a data source, usually a spreadsheet that links specific information to designated areas in the artwork. During printing, the system automatically inserts the correct data into each copy.
This process is handled digitally, which makes it fast, accurate and flexible.
Things to consider before using variable data printing
Before ordering variable data printing, it’s worth considering:
- What data needs to change
- How the data should be supplied
- Whether numbering needs to be sequential
- How the printed items will be tracked or used
Clear planning helps ensure everything runs smoothly.
How the process works
- You supply a spreadsheet
Typically an Excel or CSV file with columns such as:- Name
- Number
- Code
- Date
- Etc.
- We link your data to the artwork
The artwork is set up so each column in the spreadsheet corresponds to a field on the print (e.g. “Name” appears on the name line). - Each copy is generated automatically
Every printed item becomes a unique version using the correct information. - We print and finish the job as normal
Cutting, numbering, padding, stapling, wiro-binding, whatever you need can all applied to the personalised items.
What we need from you
To produce variable data items, we need two things:
1. Your data file
A simple Excel or CSV file with one row per item.
2. Your artwork (or we can design it)
We can:
- Set up artwork to suit your data
- Add numbering fields
- Include QR codes linked to your codes or URLs
If you don’t have artwork, we can design it for you.
Tips for supplying your data file
- Keep column names simple (e.g., “Name”, “Code”, “Number”)
- Keep all data in a single sheet
- Remove blank rows
- Ensure numbers don’t appear as text
- Double-check spelling
- For QR codes, supply the full URL or code exactly as needed
If you’re not sure, send what you have — we can help tidy it.
